Setup Time & LayoutYour exhibit space will be available for set-up on: TBA TBA Exhibit setup will NOT be allowed after 1:00 pm on April 16, 2025. Each exhibitor will receive: One draped six-foot table; One chair; and One electrical outlet All materials should fit on the table(s) assigned and any backdrops should fit flush behind the table(s). Note: the conference hotel will be equipped with Wi-Fi.

Large DisplaysExhibitors with displays larger than the allotted space may apply for additional exhibit spaces in advance (subject to availability). AAMA staff reserves the right to make changes at any time in the location, display limits, etc. of any table exhibit when it is in the best interests of the conference. If you require special accommodations or equipment beyond the provisions listed here, you must make those arrangements directly with the hotel, at your own expense

Exhibit HoursExhibit hours will be: Wednesday, April 16 - 3:30 to 5:00 PM Thursday, April 17 - 11:00 AM to 1:00 PM AND 3:00 - 5:00 PM Friday, April 18 - 10:30 AM - 12:00 PM The Innovation Center will not be hosting live sessions during conference meal functions. All materials should fit on the table(s) assigned and any backdrops should fit flush behind the table(s). Exhibitors with displays larger than the allotted space may apply for additional exhibit spaces in advance (subject to availability). AAMA staff reserves the right to make changes at any time in the location, display limits, etc. of any table exhibit when it is in the best interests of the conference. Shipment & StoragePackage Handling Pricing: Pricing is based on packages arriving no earlier than 3 days prior to group arrival day. Packages that arrive more than 3 days prior are subject to daily storage fees in addition to the handling prices. 0 - 10 lbs. $10 per box 11 - 20 lbs. $20 per box 21 - 30 lbs. $30 per box 31 - 40 lbs. $40 per box 41 – 50+ lbs. $50 per box Pallets and Crates $200 per pallet Package Storage Pricing: 0 - 15 lbs. $15 per day 16 – 20 lbs. $20 per day 21 – 30 lbs. $20 per day 31 – 40 lbs. $25 per day Pallets and Crates $50 per day Shipping and storage arrangements will be the sole responsibility of the exhibitor. Contact conference@ourmayors.org or (202) 670-2018, if you need assistance in this regard. Please note that the hotel may bill you for receiving and/or storage of any packages they handle on your behalf. It will be the exhibitor’s responsibility to see that all merchandise is removed from the Innovation Center as soon as possible following the conclusion of the annual conference – in any case, no later than 4:00pm on Friday, April 18, 2024. Any materials remaining in the exhibit space at that time may be disposed of as the hotel sees fit.

LiabilityNeither the African American Mayors Association nor the Omni Shoreham Hotel will be responsible for the safety of property of the exhibitor due to theft, damage, etc. Safety of exhibit equipment will be the sole responsibility of the exhibitor.
